Humble Bee Institute of Marine Studies ("HBIMS") is committed to transparent, fair, and equitable fee management. This Refund and Cancellation Policy outlines the terms governing facilitation fee payments, refund eligibility, processing timelines, and dispute resolution mechanisms applicable to the National Admission Framework & Seat Assurance (NAF&SA).

Important: The HBIMS facilitation fee is separate from the MTI course fee. Refund of MTI course fees is governed by the chosen MTI's own policy and DGMA norms — HBIMS does not control MTI fee refunds.

1. Cancellation & Refund Schedule

Refund eligibility for the HBIMS-NAF&SA facilitation fee depends on the stage at which you withdraw from the pipeline:

Before Stage 3 (Aptitude Screening)

Within 7 days of application

90% Refund
Between Stage 3 & Stage 5

After Aptitude Test, before Counselling complete

70% Refund
Between Stage 5 & Stage 7

After Counselling, before Dossier Lock

50% Refund
Between Stage 7 & Stage 9

After Dossier Lock, before Joining Brief

30% Refund
After Stage 10 (MTI Handover)

2. Non-Refundable Components

Certain fixed-cost components are non-refundable once incurred:

  • Application registration fee (₹500)
  • Aptitude Screening Test fee (₹1,500) — only if test attended
  • Medical examination charges (paid directly to DGS-empanelled doctor)
  • Third-party verification charges (Aadhaar, PAN, document attestation)
  • GST component on processed transactions (as per IT Act / GST law)

3. Medical Disqualification

80% refund if you are declared medically unfit at Stage 6 for a condition not previously known to you, supported by DGMA approved medical reports. The aspirant may apply for the next NAF&SA cycle without additional registration cost, subject to re-eligibility.

4. Code of Conduct Violations

No refund if the aspirant is removed from the NAF&SA pipeline due to violation of the Code of Conduct — including but not limited to document forgery, false declaration, harassment, substance abuse, or fraudulent representation. See Code of Conduct.

5. Refund Process

Step 1: Submit a written request to mti@nationaladmission.com with subject "Refund Request — NAF ID [Your ID]". Include: full name, NAF ID, batch, reason, and bank account details (account number, IFSC, holder name).

Step 2: Acknowledgement within 48 working hours with reference number.

Step 3: Refund processed within 30 working days via NEFT/RTGS to the bank account from which payment was originally received (per RBI guidelines).

Step 4: GST refund (if applicable) handled separately as per GST law — may take additional 60 days through statutory channels.

6. MTI Fee Refunds

Fees paid directly to your chosen DGMA approved Maritime Training Institute are governed by that MTI's own refund policy and DGMA norms. HBIMS-NAF&SA does not control MTI fee refunds — you must approach your MTI's accounts office directly. Typical MTI refund structure (subject to individual MTI policy):

  • 30+ days before batch start: ~90% refund
  • 15-29 days before: ~70%
  • Under 14 days: ~50%
  • After batch commencement: No refund

7. Dispute Resolution

Step 1 — Internal Grievance: Submit a complaint to our Internal Grievance Committee via mti@nationaladmission.com. Acknowledged within 48 hours, resolved within 30 days.

Step 2 — Arbitration: Unresolved disputes referred to arbitration under the Arbitration and Conciliation Act, 1996. Sole arbitrator appointed by HBIMS Board with consent of the aspirant.

Step 3 — Jurisdiction: Subject to the above, the courts of Mumbai, Maharashtra shall have exclusive jurisdiction.
